Welcome to our school!

Support Jobs can be very rewarding as you give back to our school. You can create close community members as you work collaboratively towards a goal. They can be enriching, rewarding and leave you with a great sense of satisfaction. Most of the support jobs look more daunting than they really are for they blossom with the amount of time and care you put into them. So go for a job that will help you grow and learn new things about your self and the world. Also, we cherish collaboration in our school so ask for help in your tasks if needed. We are here to support each other.

The Board Positions are usually chosen at the end of the school year prior. If you are interested in a Board Position please ask! The Board is full of creativity and collaboration and we enjoy all the work we do. We would love to have you a part of our team. We also have Board Mentoring Programs available.

Please read through our list of support jobs and then fill out this Support Job Preference Form with your top three suport job choices. Our Support Job Coordinator will be handing out support jobs at orientation in September.

Board Members

Co-President- (x2) Pres#1 Have general supervision and control of policies, procedures and operations of the school (subject to the approval of board). Call and preside at all meetings of the Board and the membership as a whole. Keep membership informed of the affairs and conditions of the school. Pres #2 Act as 3PENS and Adult School laiason. Attend all 3PENS meetings and work with the other schools on the 3PENS vision and activities. Keep the membership informed about 3PENS activities. Also keep connected with the Adult school with the MOU and budget.
Vice President- President in absence of the President. Work with Tracking Coordnator to set up a system for tracking attendance at general meetings and yard day.  Work with teachers to plan educational component of general meetings. Succeed the president if the office becomes vacant.
Secretary- Responsible for timely return of minutes after board meeting and posting minutes for members. Responsible for updating the alumni list. Act in place of Vice President, when ever he/she is not available. 
Treasurer- Liaison with board and bookkeeper. Collect all tuition due on the first of the month, track who has paid and send delinquent tuition reminders. 
Membership Chair-(x2) Responsible for being the initial contact for potential members. Maintain waitlist of prospective members. Keep records/files of each member. Be responsible for maintaining maximum enrollment. Call the support job coordinator when a new member joins to assign a job.
Support Job Chair- Assign all support jobs, creating and eliminating jobs as needed. Contact for members who wish to change support jobs. Keep support job list updated and posted at the school. Keep master file of each job responsibility. Post members support jobs. Works with membership chair to know when a new member enters and place them in a position. Creates a form members can fill out monthly to describe what they have been doing for their support jobs. Makes sure you get a form from every member each month describing what they have done for their job that month. How much time spent. Whether they had any difficulties/ need any help completing a project. If they have any improvements or suggestions for that support job. Talk to the board to make changes to any position or if you need help solving any problems. Each month type up a summary of jobs that are too much time or too little time. 
Special Events Chair- Creates projects for school to raise funds. Head raffle. Oversee the Special events coordinators, form a special events committee that meets once a month and reports planning for special events to the board meetings. 
Sales Chair- Heads sales for the school. Meet regularly with two Sales Coordinators to organize Monte tickets, Coffee, chocolate, T-shirts or other sales events that you choose with the help of the Board.  Work with the Tracking Coordinator to track each member’s progress towards his or her fundraising commitment.  Keep track of total expenses and income generated by each sales event.  Communicate regularly with the Publicity Coordinator about publicizing sales events.  
Publicity Coordinator- Works with the Sales Chair and Special Events Chair to make the public aware of our school and fundraising/sales/educational events. Make sure our school is represented in yellow pages, websites, and other marketing sources. Duties include: advertise the school to fill openings, promote school sponsored activities such as fundraisers, distribute flyers (created by the Flyer Design/ Sign Design/Copier) to local businesses, Live Oak Resource Center, Together in the Park, Education Resource Center, other preschools etc. Also put information in the calendars for Soquel/Capitola/Aptos Times, the Sentinel, and other local Newspapers. Email other Co-ops, adult school, school board and targeted political candidates know about our events.
Alumni Chair- Filled with an alumni from Soquel Co-op. Is involved with the Alumni, keeping them informed about events and news from our school. Attends board meetings.
Class Representatives- (x4)Responsible for creating monthly calendars. Liaison between class and board, for fundraising events and policy changes. Assist teacher in communication class information. Liaison between teacher and class. (x4 One for each class). Needs to attend all board meetings.


Communication Cluster

Santa Cruz City School Board Representative: Represent the school at all city school board meetings and write up a summary to give to the board members for the board meeting each month. You could also come to the board meetings and give an oral summary. 
Soquel High liaison-  Works with Soquel High to keep them informed of school events and as a liaison to create a bridge for high school students that would like to be involved in our life lab or with activities for the children. Works with Publicity Coordinator to get information to pass along.
Website-  Update the website monthly with current information: calendar, announcements, important dates, special events etc. Make sure we are up to date and paid for both our web address and web admin. 
Newsletter- Responsible for the compilation of a monthly newsletter using articles from teachers, board members, and any other articles that could benefit the membership. Create a list of monthly themes/topics you would like for each month and post this at the school for members to sign up for them. Keep an envelope near the parent cubby area so that people can contribute articles. Let the school know you need their help in writting/creating the topics for the newsletter if you are not getting volunteers. Also, include a birthday holiday section. Post a deadline for submitting articles. Newsletter doesn't have to be elaborate just informative. Work with the fundraising team to advertise and promote fundraising. Ideas for topics: notes from the board, teachers, class reps or clusters on things they are working on for the school/class. Any upcoming events, community events, children's birthdays, recommended books for parent education or for the children, healthy recipes, art projects to do at home, reminder for school policies. Have an ongoing fundraising section. No pictures of the children can be put in the newsletter.
Class Photographer/Yearbook (one for each class)- Responsible for taking digital images for your class, including at least one full class picture.  Take photos at all school events: field trips, special events etc.. Regularly print a few pictures of each child and give them to teachers for in class projects.  Set up an account for your class at on online photo company (TBA). Get email addresses from parents and invite them to the site.  Download all the pictures on to the site monthly so parent can view and order pics for themselves.   At the end of the year, work with your class’s Curriculum Support person to print out pictures and gather supplies for families to make yearbooks.
Birthday Cards/Thank you Cards- At the beginning of the year, make enough birthday cards for all students. Ask teachers to sign. Address envelopes, write name on card and put in envelopes, ready to mail. Keep a calendar of student birthdays. Stamp and mail cards in a timely manner. Don't forget the summer birthdays! Check with teachers for other occasions for cards, i.e., new baby, serious illness etc. Get directory list and start creating cards for child's birthdays. Create thank you cards for companies and individuals that make donations to our school. Keep in touch with the publicity coordinator for the persons and companies that need thanked.

 

 

Special Events Cluster

Sales Coordinator (x2)- Works with the Sales Chair to organize the Monte ticket sales, chocolate sales, coffee sales,  and T-shirt sales. Makes sure each class rep has the necessary information and use their help to get volunteers for tabling for outside of Safeway and Newleaf.  See where we can overlap the events and the sales.  When sales and events do overlap, meet with the Special Events Committee to help plan the event.  Work with Tracking Coordinator to help track each member’s progress towards his or her fundraising commitment.
Events Coordinator (x2)- Works with the Special Events Chair to organize the school wide special fundraising events. Responsibilities include working with teachers and members to organize volunteers. Events are chosen by the Special events chair and may include: Soup night fundraiser, Craft Fair, Raffle/Adult night. Is a part of a special events committee that plans the details of the events and reports back to the special events coordinator. It is strongly recommended that coordinators come to board meetings before major events and during the planning process to share/get ideas from the board. Contact other co-ops to see what events they are doing. 
Community Building Coordinator (x2)- Organize the free events for the members: CPR, Softball team, Dad/Mom support groups, bookclub, Downtown Santa Cruz Holiday Parade, tye dye party/pumpkim carving, seasonal events as necessary, open house, end of the year event, beach bonfire, boardwalk day, summer camping trip. Is a part of the special events committee, must attend board meetings to run plans of special events by board members when events are happening. It is strongly recommended to have other parents head events; may work with the make up coordinator to see who needs to do a make up that would like to head an event. 
Decorations Coordinator- Design the decorations and coordinates the volunteers for the set up and clean up for all the special events. Is a part of the special events committee that meets once a month. One coordinator works exclusively on Soquel PENS events while the other works on 3PENS events.
Community Restaurant Night Coordinator- Sets up one restaurant night per month. Works with the publicity coordinator to make sure the school and alumni knows about the restaurant nights. Possible restaurants are Saturn Cafe, Pizza My Heart, Shadowbrook, Fresh Choice, Tony and Albas. Research the best options for Community Dinner Nights. Also set up Pump'd donations days through Pump'd in Watsonville. Look for other companies that offer rewards.
eSCRIP Coordinator- Makes sure everyone in the entire school is set up with eSCRIPT through Safeway, personal credit cards/debit cards and get family members signed on as well. Make sure members know about the programs through New Leaf and Whole Foods. Research additional programs that can be added. Is in charge of calling Safeway to set up a day for our school to collect recepts for back to school and getting members to committ to a time to stand in front of safeway and collect receipts. Work with the Class reps and call and email members. Works with the special events and/ or sales committee. 
Community Service Coordinator: Organize community service events for our members such as: beach clean up, holiday giving tree, thanksgiving food drive, artwork to senior homes. Be creative with ideas so we can give back to the community that supports us.

 

 

Curriculum Cluster
Curriculum Support/Yearbook-This job entails working closely with teachers to lend extra support to special projects or themes being used in the classroom. The person may be asked to perform research on a particular subject, for example monarch butterflies during season, at a public library or online, or using materials from the teacher. Check with teachers about up coming themes. Create space for the children's artwork on the wall- please work with the other classes to display the children's artwork in the school so there is equal representation. Teachers will give directions for two projects each month.  At the end of the year, work with your class’s Class Photographer to print out pictures and gather supplies for families to make yearbooks.
Librarian/Book Order Rep.- Organize and maintain children’s bookshelf and book closet, keep books organized and neat. Check books for damage, go through bookshelves and remove damaged books. Re-shelve books.  Check with teachers on themes and select the book to be put on the bookshelf once a month. Leave a sheet in the book cabinet where parents and teachers can recommend books they would like to have or need for a theme.  Keep parent library neat and organized.  Organize Scholastic Book Club orders for membership.  You can choose to use paper ordering forms or set up up an online order for our school through Scholastic Book Clubs.  Distribute books when they arrive.  If using paper forms, pay bills to book order companies with checks (each person makes an individual check to each company). Book orders are taken several times per year.  
Evaluation Coordinator- Responsible for creating evaluation policies and implementation of policies for teachers and classes at least once a year. Update the evaluation form yearly. Evaluation forms should be filled out and completed by the end of January. The evaluation form will cover curriculum, schedule, the Board, parent performance, communication, support jobs, and content of the night meetings (per Bylaws).  Summarize results for teachers and Board.
Make up Coordinator- Responsible for brainstorming make up jobs for people that need to make up hours. Can speak with teachers, board members or fix it/gradeners for ideas. Keeps track of persons who miss meetings and call them monthly to make sure they have projects and are getting them done.
Tracking Coordinator - Post and fill out tracking forms to track member attendance at mandatory meetings and each member’s progress toward fundraising commitment.  Get information about meeting attendance from Vice-President.  Get information about fundraising progress from Sales Chair and Special Events Chair.  Remember that members can meet fundraising commitments by working at Safeway Tables and helping at some special events.
Flyer Design/ Sign Design/Copier- Responsible for any copying, die-cut making and laminating needed by teachers or board members. Also work as a part of the fundraising team to create and copy fliers and make signs for fundraising events. Works with Publicity Coordinator to distribute fliers.  Check school printer regularly and notify Costco shopper to refill ink cartridge when needed.  

 

Inside Organization Cluster
Yard Day Cleaning Coordinator- Responsible for keeping co-op members aware of cleaning guidelines and posting cleaning procedures in bathroom and kitchen. Update cleaning supply list as items are needed. Coordinate special projects related to cleaning i.e. yard day supplies, yard day duty list compilation (listing jobs related to cleaning that need to be completed on yard day, coordinate with the fix/safety coordinators)
Emergency Preparedness Coordinator- Responsible for making sure the school has necessary supplies and procedures for emergencies.  Obtain and post updated CPR guidelines.  Make sure the earthquake disaster kit and supplies are well stocked. At the beginning of the school year, parents will need to provide an emergency food supply snack for their child (nonperishable food, picture of family, note from parent, water, etc. ). Make sure each parent has turned in their supplies by end of September.  (Can obtain list of members from Membership Coordinator).  Contact class rep for parents who haven’t turned them in. Check fire extinguishers and emergency water supplies every six months.  Make sure the school is up to date on fire code laws. Create and post a check off sheet for each class to make sure they have done their monthly fire drill and earthquake procedures. Remind teachers to drill if they have forgotten. By Mid October- Post a list of emergency supplies at the school and ask parents to donate the food needed for emergency supplies. ASAP- Post at the school the emergency procedures- The Adult school and Soquel High school are working together to create new emergency procedures that are in line with the high school. Please contact Kim Woodland with new information on this.
Front Entrance Organizer- Responsible for keeping the front entry way clear, clean, organized and presentable. Decorate the front entry wall quarterly with different themes (ie. seasonal, history of school, pictures of events or students. Remove any adds/brochures that have been left, remove any outdated magazines. Make sure that parents remove art from cubbies if it has been there too long by leaving a note in parent pocket (some art projects are bulky and glittery and can make a mess). Make sure sign in area is clean and clear from clutter. Make sure there is a pen paper for members to take messages on the phone.
Bathroom/Kitchen Organizer- Responsible for keeping the bathroom organized and stocked. Extra soap, paper towels, toilet paper, clean towels and cleaning supplies should be kept in the cupboards above the children's sink. Any needed items should be added to the supply shoppers list. Please be responsible for the water filter under the kitchen sink. Please replace every 6 months and remove if school is closed for more than one week to prevent bacterial growth. Please make sure kitchen and bathrooms are child proof from chemicals and sharp objects and is safe in case of an earthquake. 
Laundry- Responsible for washing, folding and putting away the laundry/costumes. Laundry needs done at least once a week. Responsible for lost and found. Clear out lost and found items every quarter and make sure to give notice to membership to check it out before removing. Items can be donated or placed in the clothes organizer in the children's bathroom. Sometimes there are spills where parents use towels to clean it up. If left in the hamper too long, it can get pretty smelly. Spot clean costumes and check them regularly because they can get pretty dirty.
Supply Shopper (x2)- Responsible for buying supplies for the school.  Expenses will be reimbursed by the treasurer.  The treasurer will give you money to obtain a gift card from Costco at beginning of year.  A supply list is kept in the kitchen where teachers and others will list needed supplies.  In addition to checking list, also check around school to determine what supplies are running low.  Be sure to bring empty printer ink cartridges to Costco’s photo desk for refilling.  The two shoppers can divide the job as they prefer.  Determine how often the shopping is needed. The most common supplies we run out of are paper towels and cleaning supplies. Please keep a good stock of these items.
Curriculum Closet Organizer- Responsible for keeping curriculum closet organized and toys/games/activities in proper places. Make sure teachers and members have easy access to them and that we follow all fire code regulations (keep walkway clear and no items next to water heater). Any lost parts to toys and games need to be put back in their proper place. The curriculum closet stores a lot of manipulative games. Please check with the teacher on the themes and offer any manipulative to display that support the theme.
Art Supply Organizer- Responsible for keeping the art supplies and outside painting area organized and stocked.  Organize art supply cabinets twice a month.  (There is one by the kitchen, one by the back door, and an outdoor paint cupboard).  Make sure the outdoor paint area is neat and organized.  Responsible for filling out art supply orders with the teachers.  (Teachers will call the order in.)  Throw away any left over art supplies from art projects.  Core list of products should be created and a sheet should be available for the teachers to write down the supplies they need.  Transfer any completed art projects that are lingering in classroom to cubbies.  

 

Outside Organization Cluster
Outdoor Organizer- Keep the outside areas (except paints) organized. This includes the outside sinks, hollow block area, bikes and wagons and sand toys under the climbing structure. Feel free to change or rotate materials. Toys can be pulled out of shed or put away. If you notice anything that is broken, take it out and add it to the fix it list if can be fixed. Correspond with gardeners and fix it persons to plan for yard day. Organize the outside areas by the sinks, hollow block area, sand toys and kitchen fantasy area. Change themes monthly- work with teachers to find out the themes for the month and what can be used outside to support it. Look through the shed to find new toys to bring out for the children to play with. There are two yard days one in the winter and one in the spring. Work with the gardeners and fix it person to organize what needs to be done on the yard days. Put up a sign in the classroom and sends out an email reminding everyone about yard days.
Fix it/Safety Person- Repair toys and equipment as needed. Communicate with the teachers, board members and make up coordinator about items in need or repair. If you need help fixing an item, discuss it with the teacher and/or board to arrange for outside repair upon approval. You will be reimbursed by the treasurer. Organizes jobs for yard day with the safety/cleaning coordinator, creates a list and posts it in the classroom.
Gardeners (x3)- One should be the LEAD Gardener that keeps the gardeners informed about activities so they work together as a team. Responsible for keeping the outside areas in good order. These persons will also care for the garden boxes in the fenced area (life lab). This includes coordinating with the teachers to plan planting projects with the children. A time commitment of a few hours once a month per gardener is needed. This time should not be during school hours. Responsibilities include: mow lawn, edge, blow leaves, weed flower beds and planters both inside and outside fence, rake pine needles from sand boxes, etc. Be sure the sprinkler system is working properly and that the timer is set correctly. Yearly trim vine to prevent seeds growing (toxic). Check the timer often. Also schedule activities with teachers to involve the children in yard work, ie. racking leaves, weeding, planting bulbs, flowers and vegetables. Organize yard days with outside organizer and fix it persons. Two yard days per school year.
School Beautification Coordinator- Responsible for thinking about ways we could improve the school or the yard and organizing groups to work on them. Contact the Make Up Coordinator for volunteers if needed. Think of things that need paint or pruning or reorganizing. Make our school and yard beautiful! Look into getting a senior gardening group or high school college gardening group to help out in the Life Lab (talk to the high school liaison for contact information). Bring animals into the classroom! Come up with your own beautiful ideas!
