Communication Cluster
Publicity Coordinator
Make the public aware of our school and our fundraisising events. Make sure our school is represented in yellow pages, websites, and other marketing sources. Duties include: advertise the school to fill openings, promote school sponsored activities such as fundraisers, and keep contacted with the two other co-ops. Organize groups to represent us at fairs, such as the Parent Expo at the Coconut Grove and the Downtown Kids Fair in April.
-We havent attended the Expo or the Kids Fair for a long time. Please check to see if they still exists and if we should participate.
-Check the yellow pages to see if we are listed.
-Create Flyers for the April OPen House and distribute to local businesses, Live Oak Resource Center, Together inthe Park, Education Resource Center, etc. Also put information in the calendars for Soquel/Capitola/Aptos Times, the Sentinel, and other local Newspapers.
- Work with fundraising team to advertise fundraising events. Create flyers, signs, online venues (Facebook etc.).
Website
Update the website (or delegate someone who knows how to) with current calendar information. Requires some experience in UNIX and html. Look for free websites we can put information about our school. We are presently paying $60 per year for santacruzkids.com Are there any other to advertise with low cost? (ie Facebook).
September- contact president for codes and web browser information.
- contact Hurricane Electric- we have a revolving account with them. It costs $9.95 per month and is due on the 10th day of each month, expense to school.
-Put the Yearly Calendar up as soon as possible.

Newsletter
Responsible for the compilation of a monthly newsletter using articles from teachers, board members, and any other articles that could benefit the membership. Keep en envelope near the parent cubby area so that people can contribute articles. Also, include a birthday holiday section. post a deadline for submitting articles. Newsletter doesn't have to be elaborate just informative. Work with the fundraising team to advertise and promote fundraising.
-Create a list of monthly themes/topics you would like for each month and post this at the school for members to sign up for them. Make sure you put deadlines so the members know when they need to have the information completed.
-Let the school know you need their help in writting/creating the topics for the newsletter if you are not getting volunteers.
-Ideas for topics: notes from the board, teachers, class reps or clusters on things they are working on for the school/class. Any upcoming events, community events, children's birthdays, recommended books for parent education or for the children, healthy recipes, art projects to do at home, reminder for school policies.
- Have an ongoing fundraising section
-No pictures of the children can be put int he newsletter.
Photo Organizer/Yearbook (one for every class)
Responsible for developing digital images for your class. Organize the pictures by child in a photo box provided by a teacher. Make sure there are about 20 images per child in a range of situation and with a range of classmates. You will be reimbursed for photo costs.
-Create a picture day for the school.
-Set up an account for your class at picateers.com. Get email addresses from parents and invite them to the site. Download all the pictures on to the site monthly so parent can view and order pics for themselves. Money gets contributed to the school.
-Take photos at all school events.
Birthday Cards/Thank you Cards
At the beginning of the year, make enough birthday cards for all students. Ask teachers to sign. Address envelopes, write name on card and put in envelopes, ready to mail. Kaap a calendar of student birthdays. Stamp and mail cards in a timely manner. Don't forget the summer birthdays! Check with teachers for other occasions for cards, i.e., new baby, serious illness etc.
-Get directory list and start creating cards for child's birthdays.

-Thank you cards for companies that make donations for our fundraising and venues.
Fundraising Cluster
Board Members: Charlotte and Sara
Fundraising Rep (one for each class)
Duties include working with the fundraising team to organize fundraising events and projects for the school. Responsible for getting members to sign up for escrip. and generating sales and awareness of fundraising events within the class. Be in contact with the Fundraising chair for anything that needs done.
September-Work with fundraiser chair to set up Monte with volunteers and selling tickets.
October- please make sure your class has signed up for escrip
Special Events Coordinator
Special Events responsibilities include working with teachers and members to organize any special school-wide events, such as CPR training, speakers, Downtown Santa Cruz Holiday Parade, Halloween event, skating, pizza party, pancake breakfast. etc. Contact other co-ops to see what events they are doing. Also work as a part of the fundrasing team to put on fundraising events.
October- Pumpkin Carving/halloween Event, General meeting- work with teachers/ Vice President to set up Halloween event.
- Contact Downtown Association on Pacific to organize December Holiday Parade. Create theme and get volunteers to help organize.
- School T-shirts for the holiday parade.
February-Work with Membership Coordinator for April Open House.
May/June- End of the year potluck at Blueball Park
Curriculum Cluster
Curriculum Support (One for each class)
This job entails working closely with teachers to lend extra support to special projects or themes being used in the classroom. The person may be asked to perform research on a particular subject, for example monarch butterflies during season, at a public library or online, or using materials from the teacher. Each month the school will have themes, please work with the other classes to display the children's artwork in the school.
-Work with teachers on the themes for each month and what assistance they need from you.
-Create space for the children's artwork on the wall- look for artwork that supports the theme for the month, work with each class in unison or give each class their own wall.
-Teachers will give directions for two projects each month.
Book Orders
responsible for obtaining age appropriate book order forms (2-3 different ones). When the catalogs arrive place them in parent pockets. Write on white board when orders are due and work with newsletter. Collect orders from book order box. Organize and tally orders, mail or fax order forms. Distribute books when they arrive. Pay bills to book order companies with checks (each person makes an individual check to each company). Book orders are taken several times per year.
Librarian
Organize and maintain childrens bookshelf and book closet. Check books for damage. Teachers often select a theme for books and will select book titles for you to find. Re-shelve books. Keep parent library neat and organized.
-Check with teachers on themes and select the book to be put on the bookshelf once a month.
-Leave a sheet in the book cabinet where parents and teachers can recommend books they would like to have or need for a theme.
-Go through bookshelves and remove damaged books.
-Keep books organized and neat.
-Put books back in proper location after theme is complete.
Evaluation Coordinator
Responsible for creating evaluation policies and implementation of policies for teachers and classes at least two times a year.
-Head committee to create/update school evaluation form.
-Evaluation forms should be filled out and completed by winter break.
-The evaluation form will covercurriculum, schedule, the Board, parent petrformance, communication, support jobs, and content of the night meetings (per Bylaws).
Also in charge of an end of the year support job evaluation that is separate from the school eval. This should include what the members support job is, what problems they had, what solutions they came up with, what they did, what they didnt do, what they added that was extra, what is needed, any other ideas...
Copier
Responsible for any copying, die-cut making and laminating needed by teachers or board members. Copying can be done for free at the Adult Education Office. Also work as a part of the fundraising team to copy flyers and signs for fundraising events.
Inside Organization Cluster
Safety Cleaning Coordinator
Responsible for keeping co=op members aware of cleaning guidelines and posting cleaning procedures in bathroom and kitchen. Update cleaning supply list as items are needed. Coordinate special projects related to cleaning i.e. yard day supplies, yard day duty list compilation (listing jobs related to cleaning that need to be completed on yard day).
Emergency Preparedness Coordinator
Responsible for making sure the school has necessary supplies and procedures for emergencies. Make sure the earthquake disaster kit and supplies are well stocked. At the beginning of the school year, each parent will need to provide and emergency food supply snack for their child (nonperishable food, picture of family, note from parent, water, etc. ). Make sure each parent has turned in their supplies. Check fire extinguishers and emergency water supplies every six months. Make sure the school is up to date on fire code laws.
-By end of September- have parents tur in their emergency supply snack. Refer to handbook on emergency snack info. Contact class rep for parents who havent turned them in.
-create and post a check off sheet for each class to make sure they have done their monthly fire drill and earthquake procedures. Remind teachers to drill if they have forgotten.
- By Min October- Post a list of emergency supplies at the school and ask parents to donate the food needed for emergency supplies.
ASAP- Post at the school the emergency procedures- The Adult school and Soquel High school are working together to create new emergency procedures that are in line with the high school. Please contact Kim Woodland with new information on this.
Front Entrance Organizer
Responsible for keeping the front entry way clear, clean, organized and presentable. Decorate the front entry wall quarterly with different themes (ie. seasonal, history of school, pictures of events or students. Remove any adds/brochures that have been left, remove any outdated magazines. Make sure that parents remove art from cubbies if it has been there too long by leaving a note in parent pocket (some art projects are bulky and glittery and can make a mess). Make sure sign in area is clean and clear from clutter. Make sure there is a pen paper for members to take messages on the phone.
Bathroom/Kitchen Organizer
Responsible for keeping the bathroom organized and stocked. Extra soap, paper towels, toilet paper, clean towels and cleaning supplies should be kept in the cupboards above the children's sink. Any needed items should be added to the supply shoppers list. Please be responsible for the water filter under the kitchen sink. Please replace every 6 months and remove if school is closed for more than one week to prevent bacterial growth. Please make sure kitchen and bathrooms are child proof from chemicals and sharp objects and is safe in case of an earthquake.
Laundry
Responsible for washing, folding and putting away the laundry/costumes. Laundry needs done at least once a week. Responsible for lost and found. Clar out lost and found items every quarter. and make sure to give notice to membership to check it out before removing. Items can be donated or placed in the clothes organizer in the children's bathroom.
-Sometimes there are spills where parents use towels to clean it up. If left in the hamper too long, it can get pretty smelly.
-Spot clean costumes and check them regularly because they can get pretty dirty.
Supply Shopper (x2)
Responsible for buying supplies for the school. Expenses will be reimbursed by the treasurer. A supply list is kept in the kitchen where teachers and others will list needed supplies. Shopper is responsible for checking supply items in the kitchen, bathroom and shed and replenishing before items run out, i.e. toilet paper, tissues, paper towels, bleach, cleaning supplies, etc. The two shoppers can divide time so that each shops every other month, or whatever arrangement works out best.
-Keep a list of commonly ordered products supply list: soap, paper towels, toilet paper, etc...
-Work with each other to create a schedule or if someone has a preference for a store.
-Determine how often the shopping is needed.
-The most common supplies we run out of is paper towles and cleaning supplies. Please keep a good stock of these items.
Curriculum Closet Organizer
Responsible for keeping curriculum closet organized and toys/games/activities in proper places. Make sure teachers and members have easy access to them and that we follow all fire code regulations (keep walkway clear and no items next to water heater). Any lost parts to toys and games need to be put back in their proper place. The curriculum closet stores a lot of manipulative games. Please check with the teacher on the themes and offer any manipulative to display that support the theme.
Art Supply Organizer
Responsible for keeping the art supplies organized and in stock. Also includesmaking sure there are paints to use in the outside painting area. Check weekly. Make sure the paint area is neat and organized. Responsible for filling out art supply orders with the teachers, teachers will call the order in.
-Keep art supply cabinets organized (one by kitchen and one by back door organize twice a month).
-Make sure art supplies are ordered and available in the cabinet.
-Throw away any left over art supplies from art projects.
-Core list of products should be created and a sheet should be available for the teachers to write down the supplies they need.
Outside Organization Cluster
Outdoor Organizer
Keep the outside areas (except paints) organized. This includes the outside sinks, hollow block area, bikes and wagons and sand toys under the climbing structure. Feel free to change or rotate materials. Toys can be pulled out of shed or out away. If you notice anything that is broken, take it out and add it to the fix it list if can be fixed. Correspond with gardeners to plan for yard day.
-Organize the outside areas by the sinks, hollow block area, sand toys and kitchen fantasy area.
-Change themes monthly- work with teachers to find out the themes for the month and what can be used outside to support it.
-Look through the shed to find new toys to bring out for the children to play with.
-There are two yard days one in the winter and one in the spring. Work with the gardeners and fix it person to organize what needs to be done on the yard days.
Fix it/Safety Person(x2)
Repair toys and equipment as needed. Communicate with the teachers and board members about items in need or repair. If you need help fixing an item, discuss it with the teacher and/or board to arrange for outside repair upon approval. You will be reimbursed by the treasurer.
Gardeners (x3)
Responsible for keeping the outside areas in good order. This person will also care for the garden boxes in the fenced area (life lab). This includes coordinating with the teachers to plan planting projects with the children. A time commitment of a few hours once a month per gardener is needed. This time should not be during school hours. Responsibilities include: mow lawn, edge, blow leaves, weed flower beds and planters both inside and outside fence, rake pine needles from sand boxes, etc. Be sure the sprinkler system is working properly and that the timer is set correctly. Check the timer often. Also schedule activities with teachers to involve the children in yard work, ie. racking leaves, weeding, planting bulbs, flowers and vegetables.
-Yearly trim vine to prevent seeds growing (toxic).
-Few hours per month, per gardener.
-Not to be done during school hours.
-Check sprinkler timer often.
-Weed and mow lawn.
-Organize yard days with outside organizer and fix it persons. Two yard days per school year.
